TITLE: Office Coordinator
JOB SUMMARY:
To provide a church office operation that is effective, efficient and allows Covenant to meet its goal of offering a meaningful Christian community to its members and friends. In addition to the business operation of the church office, the Office Coordinator will professionally represent Covenant as a caring and Christian environment.
QUALIFICATIONS:
1. At least a high school diploma plus some college level business courses, or equivalent work experience.
2. The ability to work in a team environment, present a professional image, and to help facilitate communication within a church
3. Strong computer software skills that include, but are not limited to Microsoft Office, Publisher, Outlook, and Adobe Acrobat for e-mail, accessing the internet and working with Covenant’s web-site
4. Good communication and language arts skills with an eye for publication design and layout.
5. The ability to organize tasks and to be self-directed
6. The ability to problem solve
7. Interest in continued learning and development
REPORTS TO:
The Office Coordinator shall be employed by the Session of Covenant Presbyterian Church, upon the recommendation of the Personnel Committee of the Administration and Finance Commission and shall be directly responsible to the Head of Staff.
RESPONSIBILITIES:
1. Perform Office Coordinator duties in an efficient, accurate and timely manner
2. Facilitate communication by:
· Preparing bulletin and announcements
· Preparing and publishing church newsletter
· Maintaining calendar of events of the church and for use of the building
· Preparing sign-up flyers, posters and sign-up sheets
· Answering the telephone and distributing messages
· Providing reminders and notices to committees and work groups
3. Coordinate the church office by:
· Distributing mail and messages
· Ordering and maintaining supplies for the office and church programming/activities
· Making a contact list of known suppliers and repair companies used by Covenant.
· Coordinating with Session Committees, officers, volunteers, and staff on their work and providing support as necessary.
· Keeping Covenant’s master calendar current and accurate. Making arrangements for meetings to include room reservations, coordinating schedules, activities, distributing and collecting building keys, and preparing materials
· Insuring office equipment is adequately supplied and in working order.
· Greet and screen visitors and callers and provide excellent customer service
4. Technology responsibilities.
· Insuring church computer hardware and software are in working order
· Maintaining and protecting church data base and records
· Trouble-shooting minor problems and/or obtaining repair services for office equipment and software programs .
· Updating Covenant Web site, insuring that it is current and attractive
5. Perform other administrative duties as assigned
TERMS OF EMPLOYMENT:
This is a non-exempt, part time position with variable and flexible hours based on the congregation’s needs as assessed by the Head of Staff and the Personnel Committee.
EVALUATION:
Performance reviews are conducted annually by Personnel Committee and the Head of Staff and will follow church guidelines as established by the Session’s Personnel Committee.
